“Mail Merge” is a feature that allows you to send personalized e-mail messages to a group of people at the same time. You can use this feature in Outlook easily if you have already prepared a contacts list. You will also use the Mail Merge feature of MS Word to send your personalized e-mails. The mail merge feature can be enabled in Outlook right while you send personalized e-mails. The below section explains how to enable and use Mail Merge in Outlook. As discussed above, check if you have prepared your contacts list. If not, prepare it by following the below instructions.

Creating the contacts list:

Note: The below instructions are suitable for the latest version of Outlook.

  • Step 1: Launch the Outlook application.
  • Step 2: Locate and click on the People icon.
  • Step 3: Now, choose the folder of your desire to save the contact details under the My Contacts section.
  • Step 4: Select New Contact Group.
  • Step 5: Now, in the given field, type a name for your group and click on the Add Members icon.
  • Step 6: Choose the e-mail addresses that you wish to add to the group.
  • Step 7: Click on the Save & Close button.

Enabling Mail Merge in Outlook:

Now, let’s see how to enable and use the Mail Merge feature in Outlook in detail.

  • Step 1: Open the Outlook application if it is not open.
  • Step 2: Click on the People tab.
  • Step 3: Select the created group or contacts of your desire.
  • Step 4: Click on the Mail Merge option in the menu list to enable the Mail Merge option in Outlook.
  • Step 5: Now, a pop-up dialog box titled Mail Merge Contacts will appear on the screen.
  • Step 6: Select Contact, Document file, Contact data file, and Merge options as per your desire and click on the OK button.
  • Step 7: Compose the e-mail message by following the on-screen instructions.
  • Step 8: After composing the message, preview it.
  • Step 9: Now, initiate the mail merging process by clicking on the Start Mail Merge option followed by E-mail Messages.
  • Step 10: Complete the mail merge process by following the on-screen instructions.
